Prepare the site brief before a commercial step

A pallet delivery is easier to plan when the site team records practical constraints before a vehicle arrives. Start with the goods-in point, the route a visiting vehicle should use, any relevant access restrictions and the person responsible for local procedures.

This is information the site controls. Confirm it with the people responsible for the premises rather than inferring it from a postcode or a map.

Check the receiving area under your own procedures

HSE workplace-transport guidance discusses the vehicle, load and site as relevant factors when planning activity. It also describes the importance of keeping people not involved in loading or unloading clear of the activity area where reasonably practicable.

The correct controls depend on the premises, equipment, vehicle, load and the operator's own assessment. This page is not a universal unloading instruction or a site-safety approval.

Questions for the responsible site team

Use these questions to make a concise receiving brief before requesting commercial confirmation.

  • Who owns the on-site vehicle and pedestrian management process?
  • Which gate, route and goods-in point should a visiting vehicle use?
  • Which height, width, weight, turning or booking restrictions must be confirmed?
  • Who checks that the receiving area is ready on the day?
  • What packing or handling information does the site need in order to assess its own process?
  • How will the site record a change or exception to the receiving brief?

Keep site facts separate from supplier facts

A site brief and supplier evidence answer different questions. The site owns its access, layout and operating controls. A supplier can only be asked to confirm current commercial and packing information for a proposed transaction.

Do not turn an indicative discussion into a promise about price, stock, route, delivery date, product suitability or an order. Those points require current approved evidence and their own commercial confirmation.
